For most small businesses, QBO is the central tool that organizes daily bookkeeping. A clean QBO setup makes ongoing bookkeeping easier; a disorganized setup makes it harder.
How it works
QBO connects to bank and credit-card accounts, imports transactions, and lets the owner or bookkeeper categorize them into a chart of accounts. It produces reports like the P&L and balance sheet and supports add-ons for payroll, payments, and more.
A simple example
A business connects its checking account to QBO. Transactions flow in automatically, and each one is categorized to the right account, building the books throughout the month instead of all at once at year-end.
A common misunderstanding
QuickBooks Online and QuickBooks Desktop are different products. QBO is cloud-based and accessed through a browser; Desktop is installed locally. They do not share the same file format.
